Privacy policy

Idex (“Idex”, “we”, “us”) is an app for Shopify stores. This policy explains what Idex reads and stores when a merchant installs it, why, who it is shared with, how long it is kept, and how to reach us.

Summary

  • Idex reads your store’s data through Shopify’s APIs, only to run the features you use.
  • It does not store your customers’ names, email addresses, phone numbers, postal addresses or payment details.
  • We don’t sell data, show ads, or use your data to train AI models.
  • When you uninstall Idex, it deletes your store’s data 48 hours later, when Shopify asks it to.

What Idex reads and stores

From your store, through Shopify’s APIs

  • Store details: your shop’s myshopify.com domain, store name and description, primary domain, main market (country and language) and your Idex plan.
  • Products: titles, descriptions, product types, tags, categories and category attributes, variants and their options, barcodes, prices, images and their alt text, SEO titles, collections, review counts and whether each product is published. Idex needs these for the readiness checks and to draft fixes.
  • Collections: titles and descriptions, to suggest buyer questions and to draft an agents.md file.
  • Policies and pages: whether your refund, shipping, privacy and terms of service policies and your contact information are published; the text of your refund and shipping policies, to answer returns and shipping questions in product FAQs; and your pages’ titles and length, to find an About page and an FAQ page.
  • Orders: for orders from the last 60 days and each new order, the order’s ID, number and date, its total and currency, its sales channel, whether it was cancelled, and the products and quantities in it. For an order that came from an AI assistant, Idex also keeps which assistant, the referring website’s domain, the UTM source and the landing page’s path (never its query string). Idex uses these to find the sales that came from AI assistants and your best sellers. It does not store who placed the order.
  • robots.txt: your store’s public robots.txt file, to check which AI crawlers can read your pages.

What you enter or approve in Idex

  • The buyer questions you keep, edit or add, and your settings (such as the assistants to track).
  • The fixes Idex drafts and the ones you approve or skip, with the values before and after each fix, so it can be undone.

What Idex creates

  • Readiness scan results and your readiness score.
  • The answers AI assistants gave to your buyer questions (the answer text, the links it cited and the brands it named) and whether each one mentions your store.
  • A log of the product page addresses sent to IndexNow, with the time and the result.
  • Usage events, such as a setup step being completed, a fix being approved or a plan being changed, with the time. They help us improve Idex.

Sign-in

When you install Idex, Shopify gives it an access token for your store. Idex keeps the token on its server to act for your store. Idex uses store-level access, so it does not store your staff’s names or email addresses.

How Idex uses it

  • To scan your store, work out your readiness score and rank the fixes.
  • To draft fixes from your products’ own data and, when you approve them, write them to your products.
  • To ask your buyer questions on AI assistants and check whether the answers mention you.
  • To find the orders that came from AI assistants.
  • To tell search engines about changed product pages through IndexNow, while it is switched on.
  • To apply your plan’s limits, answer your support requests and keep the service secure.
  • To understand how Idex is used and improve it, from usage events.

Who it is shared with

We share only what each service needs to do its part:

  • Shopify, the platform Idex runs on. Shopify also bills your Idex plan.
  • DataForSEO (dataforseo.com) receives your buyer questions, as text, with your store’s main country and language, and asks them on ChatGPT (OpenAI) and Gemini (Google) for us, so OpenAI and Google receive the questions too, under their own terms. DataForSEO doesn’t receive your product records, your orders or any customer information. When stores ask the same question in the same market in the same week, Idex asks it once and they share the answer.
  • Cloudflare Workers AI (cloudflare.com) and, when it doesn’t answer, Groq (groq.com) receive a product’s title, type, options, tags, collection names, attribute values and current description, as text, when you press “Write it for me” on that product’s description in Fix Studio. They don’t receive your orders, customer information or your store’s name, and neither uses what it receives to train models. The draft is checked against the product’s own data before you see it, and nothing is written to your product until you approve it.
  • IndexNow (api.indexnow.org) receives the addresses of product pages that changed and your store’s IndexNow key, and passes them to search engines that use IndexNow, including Bing.
  • Our hosting provider, which runs Idex’s servers and database.
  • Authorities, when the law requires it.

We don’t sell your data or share it with advertisers.

How long it is kept

  • While Idex is installed, it keeps your store’s data to run the app.
  • When you uninstall Idex, its access token is deleted right away. Everything else linked to your store is deleted 48 hours later, when Shopify sends the shop data deletion request.
  • When Shopify asks Idex to delete a customer’s data, Idex deletes that customer’s orders.
  • Usage events are deleted after 90 days, except the record of your first approved fix, which the setup guide uses.
  • Background job records, such as a note that a scan was queued for your store, are deleted about a week after the job finishes.
  • AI answers are stored once per question, market, assistant and week, and shared between stores. They keep the question and the assistant’s answer, not your store’s ID, products or orders, so they stay after you uninstall. A question can include your store’s name, like “is Your Store legit”, or words you typed.
  • Product changes you approved (categories, attributes, descriptions, SEO titles and alt text) stay on your products after you uninstall. Undo them in Fix Studio first, which lists your 20 most recent approvals, if you want the original values back.

Where it is stored, and security

Idex’s servers and database are run by our hosting provider. Data travels between Shopify, Idex and the services above over encrypted (HTTPS) connections. Only the people who run Idex can reach the database.

Your choices and rights

  • You can uninstall Idex at any time from your Shopify admin.
  • You can ask us what Idex holds about your store, ask us to correct it, or ask us to delete it sooner by emailing himusr@gmail.com.
  • If you shop at a store that uses Idex, contact that store about your data. Idex holds no names, emails or addresses, and deletes order records when Shopify asks.

Changes to this policy

When this policy changes, we update it here and change the date at the top.
